DARBY PTA VOLUNTEER POSITIONS FOR 2024/2025
Room Parent Coordinator (Year Round): Communicate with and send correspondence to all room parents. Throughout the year, you will send PTA related news to the room parents and ask them to forward to their classroom.
Communications Chair (Year Round): The main goal of this role is to create and share PTA news/announcements in a timely manner. We have a few ways we share our announcements- a newsletter emailed to our database (weekly), social media posts (3-5 a week), website update (weekly), emails to room parents (weekly) and fliers sent home (occasionally).
Social Media (Year Round): This chair updates and maintains the PTA Facebook and Instagram pages. Post PTA updates and info about upcoming events, once a week if possible. Posting pictures of kids require special permission from parents. Posts should always be factual and related to PTA events only.
Website Maintenance (Year Round): Update the website as needed using the Squarespace program. Make sure the information is current and calendar is up-to-date.
Darby Wear (Year round): This chair is In charge of the sale of Darby clothing and merchandise. You can set up a booth to sell merchandise whenever there is a PTA function or meeting at the school. Keep track of our inventory at school and order shirts/hoodies from our vendor in a variety of sizes to keep in stock at school.
Corporate Sponsorship (First half of year): This chair contacts current sponsors/approaches new sponsors to secure monetary sponsorship for the upcoming year. In return, the sponsor gets mentioned on our website, newsletters, social media, fence banner. You can also invite sponsors to set up a booth at school events. Manage relationships with sponsors.
Passive Giving (Year Round): Families can support our school “passively” just by shopping certain retailers and brands. Darby families can link our school to their Ralphs Rewards account or submit Box Tops and a percentage will automatically go to Darby. The chair will help promote these options and find new ones.
Grants (Year round): This chair is responsible for researching and applying for any grants that fill the needs of our school. Will need to submit applications by their deadlines. Previously, we received grants from The Office of John Lee and the Northridge East Neighborhood Council for $2000 each. We can try applying for these again. Research grants from: Smart n Final, Northridge East Neighborhood Council, John Lee's office, Walmart, Ralphs, Whole Foods.
Family Fun Nights (Year-round): Organizes fun events that the whole family can participate in, such as restaurant nights, movie night.. Family Fun Nights are held several times a year. The chair coordinates with the venues, makes fliers and is responsible for the smooth running of the event.
Hospitality (Few Times a year): Organize lunch/refreshments for volunteers and teachers during Association meetings, if meetings are held in person.
Assemblies (2x a year): This chair will arrange one or two school assemblies for students to engage in on campus. A student favorite is the BMX stunt show. Chair would be responsible for scheduling the BMX show and working with the company to ensure everything goes smoothly. You can also research some other companies that can come to Darby and conduct an assembly for the students.
Back to School Luau (August): This will be our first event for the new school year. The main purpose of the event is to welcome families back, give students their student cards with Room number and give them a list of supplies from their teachers. The PTA can also have a booth for memberships and donations, and sell Darby Wear. You would be responsible for coordinating the event and arranging volunteers. Would need to arrange snacks/treats/drinks to hand out. We would also need to reach out to the teachers and have them provide us with their supplies list. Once we have all the supply lists, we will post them on our website. We’ll pass out a card to all students with link information to the supplies list and PTA info.
Welcome Teacher Breakfast (August): Set up a breakfast for all teachers to welcome them back to school. You would be responsible to find a place to cater the breakfast and send a menu to the teachers. The teachers can make a selection and then you would place the order and either pick up or have it delivered to school. Provide coffee/drinks if there is room in the budget.
Reflections (August): The Reflections program is a national arts program administered by the national PTA. As a PTA Reflections chair, you will give all Darby students the opportunity to explore and be involved in the arts. Oversee the planning and implementation of the program; Register our PTA online; Promote the Reflections program to students, teachers, parents, and the community; Create content for newsletters; Establish a program timeline; Recruit other committee members, Reflections judges and volunteers as needed; Distribute and answer questions about the rules, deadlines, and student entry forms; Collect student entries and verify they meet all eligibility requirements; Coordinate the local judging process; Host recognition activities for participants and winners; Return entries to students.
Ice Cream Social (September): This event will either be an ice cream party on campus or an ice cream truck vendor outside of campus, depending on the rules at the time. If on campus, you would be responsible for organizing a party where we would serve free ice cream to everyone. You would need to purchase pre-packaged ice cream, toppings, decorations.
Darby Reads (September-February): Darby Reads has been a staple in our yearly program schedule. Running from September to February, students can earn prizes, a gold medal and Darby Dollars based on completed reading logs. Chairs will create a theme, promote the program, keep track of student logs and distribute prizes.
Darby Dolphin Drive (October): Our biggest school fundraiser! The fundraiser will begin in October and can run for 4 weeks. Organize a theme, set a goal, make posters/fliers, come up with prizes and incentives. Plan a party for the winning class. Keep track of all donors through Totem and our website. Distribute prizes at the end of the drive. 100% of the money goes directly to supporting our school.
Trunk-or-Treat (October): A Darby tradition. Trunk or Treat is a fun, Halloween event for our families. Chairs would organize permits for the cars, communicate with parents decorating cars, set up the auditorium (haunted house) and coordinate volunteers to help out with everything.
Catalog Fundraisers (November): This Chair is responsible for planning the catalog fundraising event. Collect order forms, place order and distribute items.
Winter Warm-Up/Toy Drive (December): Plan an after-school event with a hot chocolate bar and collect toys for a toy drive.
Friendship Fiesta (February): Coordinate a friendship themed party for our families. The chair, along with volunteers will plan the party, arrange food and music, decorate and promote.
Scholastic Book Fair (February): The Scholastic book fair is a student fave. The chair will plan, manage and promote the Book Fair, including donuts/muffins day and Pajamarama. They will communicate with Scholastic to order books and supplies and coordinate volunteers for the fair.
Beautification Day (April): Organizes an event to beautify the Darby school campus. This can include cleanup, gardening and painting that all families can participate in.
Silent Auction (April): This chair is responsible for collecting items to be auctioned during the Open House. Collect donations from parents and local businesses. Help assemble classroom baskets with homeroom parents. Write thank you notes and provide donation tax receipts. Monitor the bidding during the auction and distribute to winners.
Teacher/Staff Appreciation Week (May): Coordinate activities, including a luncheon during this week-long event. Plan activities and make fliers/posters. Encourage students and families to participate in the activities. Work with room parents to set up something nice for the teachers or ask room parents to take up a collection.
Talent Show (May): Plan and coordinate a Talent Show showcasing the talents of students, families, and staff. Create flier, recruit volunteers, coordinate student auditions, rehearsals, organize group acts and run the show. If talent show will be virtual, you would collect videos from students showcasing their talent and create/edit/post a video to be shared with everyone.
End of Year Dinner (May): Organize PTA dinner. Arrange venue, food/drinks, invitations, decorations. Coordinate installation of new board members, print certificates, purchase awards/pins.
Darby Day (May): This event is all about celebrating our students and families. The chair plans the event and activities such as a picnic lunch.

Most Darby PTA positions can be done remotely and do not need LAUSD clearance.
Volunteers for a single event can volunteer with approval from our principal and school.
